AFN (Automated Fulfillment Network) patron physical item request workflow (non-UCB patrons only)

Owning Libraries (on UCB campus only - NRLF has separate workflow) receive AFN requests from other UC's patrons in Alma for loan of their material. Owning unit staff will page the material and Resource Sharing Division (RSD) staff will deliver to the requesting UC via the UC courier system. 

Paging material

  1. Owning unit staff uses the Alma Pick From Shelf Picklist to pull requested material from their shelves.
  2. Owning unit staff scans barcode into Alma using Scan In Items, setting the item in transit to the patron's preferred pickup campus/library. 
    1. If the request is for multiple volumes, create new Patron Physical Item Requests for each additional volume (up to four items). Each individually barcoded item must be fulfilled on a separate request. 
    2. If items are in poor condition, have loose pieces, etc., but item can still be sent, the owning unit notes this in the Fulfillment Note (see Item record note field format guidelines. Fulfillment Note). To add notes that should be permanently attached to the item record, please use the Internal Note 1 field (see Item record note field format guidelines. Internal Note 1).
    3. If items are not on shelf or should not be sent for any other reason, owning unit staff cancels the request (without notifying patron). 
  3. Owning unit staff prints the Transit slip and places it in the item. Doe library owning units place items on the RSD shelf behind Doe Circ. Subject specialty library owning units prepare items for RSD staff pickup (usually held at circulation desk). 
  4. RSD staff collects the AFN-requested item from the owning library and brings it back to the RSD office. 
  5. RSD staff scans barcode in at the RSD office for tracking purposes. The item history will only show the last Scan In location. 
  6. RSD staff ships AFN material to the designated UC campus via the system-wide courier (Unity). 

Returns

  1. RSD staff receive returned items via the courier. 
  2. RSD staff will use Scan In Items to route material back to the owning unit. Items will be returned through the library mailroom or hand delivered (depending on owning unit or outstanding requests for the material). 
  3. Owning unit staff will use Scan In Items to remove the Transit request and put items back in place. Items can now be reshelved at the owning library.
