Activate Electronic Collections

  1. Start at an acquisitions desk location
  2. Do an Electronic Collection search
  3. Find desired collection and click ‘Activate’ (note, if there is a home icon next to the collection, it is already activated)
  4. You will be taken to the Activation Wizard for Collection and Services set up.
  5. Local Electronic Collection Information:
Add/edit public name and url as needed.
Mark bib suppressed/not suppressed as needed. (This is collection level bib. A degruyter ebook package bib would be suppressed, for example, a Brill database bib would not…)
  6. Full Text Service: Select “activate the electronic collection service”
  7. Select “make service available’  (Assuming we know our access has been turned on by the vendor/publisher).
  8. If we bought a full collection for the current year that corresponds precisely to the Alma collection, select “automatically activate new portfolios”
  9. Add any notes as needed in the provided space. Hit Next.
  10.  10. Full Text Service Linking Parameters: This is where you fill in special linking variables if applicable, ex Proquest client ID.
  11. Full Text Service Proxy Set Up: Turn on/off proxy as needed. Always proxy at the Service level, if resource is not free. Hit Next .
  12. Select Activation Method: Indicate activation type: 1) All 2) selected; upload excel file of titles 3) selected; manually activate titles. NOTE: please see Related Resources for excel file specifications for upload. (can also add local portfolios to file upload - see ‘add local portfolios’ on same page of wizard.
  13. Hit “Activate”
Huge packages like Jstor can take a while, such as a day to activate. They get queued up for activation. Alma can only run one job at once.
You can monitor the progress of jobs under Admin > Monitor Jobs > Running/ History. History shows if it completed successfully.
  14. Return to your task list. Find collection, click ellipses menu and click “Done”.
