How to close serials holdings records

Explains the history of related record practices and how they may have become unlinked over the course of OPAC migrations. Also covers previous attempts to mitigate the unlinked related records problem.

This document describes the process for withdrawing properly linked related records in Alma, that is, two or more records that describe the resource(s) in one physical volume and that are linked via a host bibliographic record.

The document also addresses the process of withdrawing multiple records that describe the resource(s) in one physical volume but that are not linked through a host bibliographic record, such as records for unlinked analytics.

Items that are missing are declared lost and withdrawn after multiple searches. Sometimes these items are later recovered (either returned or found in the stacks). This document describes steps to take if a selector determines that the recovered copy should be reinstated.

This procedure is to be used by staff for manual withdrawal of Items only if the items are NOT missing or billed/lost and are NOT on Related records (aka Host Bibs).

There are times when we have predicted Item records for serial issues that have not been received and need to be deleted.

This procedure presents the steps for marking Alma bibliographic and holdings records for deletion. To delete an item record, see Deleting (Withdrawing) Item Records in Alma.

This document contains the processes and use cases for deleting item records which were created recently in error. This document does not cover deletion for catalog maintenance nor what are traditionally considered as withdrawals.
