- All catalogers are required to enter 955 subfields $$a, $$b and $$c.
- Include one 955 for each type of cataloging work accomplished (e.g., if a NAR is created for the record, then at least two 955 fields would be included - see examples in the NACO section below).
- Use a private bib record template in Alma to generate the 955. Update template(s) with the new date on the 1st of each month.
- If working on a record that already includes a 955 field(s), add new 955(s) as necessary but do not delete any existing 955(s).

PUBLISHED MATERIALS
ORIGINAL CATALOGING
CODE: CO
DEFINITION: No matching catalog record located in OCLC. Input a new, full WorldCat record (ELvl 7 or blank) cataloged according to current full cataloging practices. Includes:
- Creating a new WorldCat record (ELvl 7 or blank) from scratch using a blank workform
- Deriving a new WorldCat record (ELvl 7 or blank) using an existing record for a different edition or similar record
- Deriving a new OCLC WorldCat record from an existing non-English catalog record (i.e., 040 ǂb is coded for a language other than “eng”)
- Copy cataloging where the existing catalog record is extremely brief and requires a complete upgrade, including assignment of classification, subject analysis, and access points (e.g., a vendor record)
COPY CATALOGING
CODE: CC
DEFINITION: An OCLC record exists, the record exactly matches the item you are describing including subject heading(s) and classification. Cataloger only sets holdings, exports, and adds local extensions in Alma.
COPY CATALOGING, ENHANCED
CODE: CCE
DEFINITION:
- An OCLC record exists, but requires the addition or correction of bibliographic elements, such as subject headings, genre/form terms, and/or classification
- An existing OCLC record is upgraded to a higher level of descriptive standard, e.g. record is AACR2 or lower and is upgraded to RDA, DCRM, etc.
RE-CATALOGING
CODE: RC
DEFINITION: Substantially re-cataloging an item that already is represented in Alma by an OCLC record. Minor edits to existing records should be coded MT.
MAINTENANCE
CODE: MT
DEFINITION: All maintenance tasks on existing records that do not require a change to the OCLC WorldCat record. Examples include, but are not limited to:
- Adding copies, with or without adding corresponding local extensions (e.g., provenance notes/tracings)
- Holdings maintenance
- Transfers (without significant bibliographic changes)
- Withdrawals
- Multi-volume monograph or serial adds
- Replacements
- Linking analytics
- Adding/editing local extensions (bibliographic or holdings)
- Exporting a new version of the OCLC record without making any changes to that record
CATALOGING, MINIMAL
CODE: CM
DEFINITION: No matching OCLC catalog record located. To be used when creating a preliminary ELvl 7 record with or without assigning LC classification.
Note: Current Bancroft practice is to not create these types of records
HOST BIBLIOGRAPHIC RECORD
CODE: HB
DEFINITION: Host bibliographic record, in the IZ, for boundwiths.
ARCHIVAL MATERIALS
ARCHIVAL CATALOGING, ORIGINAL
CODE: ACO
DEFINITION: No existing catalog record in OCLC or a previously-input Archival Minimal Level record for archival materials is upgraded to full level. Includes:
- Creating a new master record in OCLC (ELvl 7 or blank) from scratch using a blank workform for a fully-processed collection or item with description and access points
- Enhancing an existing record previously input as Archival Minimal Level for a collection or item that is now fully processed and described and open for research (any “unprocessed” restriction notes are deleted from the record).
ARCHIVAL CATALOGING, ENHANCED
CODE: ACE
DEFINITION: Significant edits are required that result in a change to the OCLC master record. Examples include, but are not limited to:
- Updating of 1XX and/or 7XX entries (e.g., constructing an RDA-compliant Family name, adding dates, etc.)
- Updating or addition of 6XX entries
- Updated notes, especially 520 or 545
- Adding description for AV, Pictorial, or Digital components to an existing record INVENTthat only previously described textual or pictorial components

ARCHIVAL CATALOGING, MINIMAL
CODE: ACM
DEFINITION: Use when creating a new OCLC record from scratch for preliminary (accession) records for unprocessed archival material, or when inputting a preliminary record into the Alma IZ for inventory control of uncataloged single items.
ARCHIVAL MAINTENANCE
CODE: AMT
DEFINITION: Minor edits to the bibliographic record (including those that require a change to the OCLC master record), and for holdings maintenance, etc. Examples include, but are not limited to:
- Updating the extent and/or date range to incorporate additions to an existing record (whether otherwise fully cataloged or not)
- Updating restriction notes
- Adding 33x fields

NACO, NEW

DEFINITION: Contribute new LC/NAF name authority records.
NOTE: Add one 955 for each new NACO heading established. For example, if you enhanced an existing OCLC record, which included the creation of two new name headings, the 955s would look like this:
