Metal Keys, Door and Alarm Codes, and Cal 1 Card Access, UCB Library

Library Facilities Office is responsible for issuing metal keys, door codes, alarm codes, and Cal1 card access to Library staff and for receiving and submitting requests for lock repairs.

For metal key, access requests, and lock repair needs in subject specialty libraries, please contact your Chief Operations Manager (COM) for assistance.

Submitting Requests

All requests must be submitted through the Library Access Request Form.

A submission of this form serves as approval and therefore must be completed by the employee's supervisor, head of unit, or UL/AUL/CAO.

Please use the Access Request Form to:

  • Submit requests for metal keys, door codes, and Cal1 card key access in Doe, Moffitt, or Bancroft libraries for a new Library employee
  • Submit requests when a Library employee changes roles and/or location and keys, codes, and/or access needs to be updated
  • Notify Library Facilities Office and Library Security Office that an employee is leaving their employment with the Library and card and office door code access should be removed and metal keys collected

Following receipt of an Access Request Form submission:

  • Library Facilities Office staff will review the request and verify that the employee has completed the Library Access and Security Orientation form. This form is required before any keys or electronic access will be issued. It is the supervisor's responsibility to provide the form link and to ensure that the employee completes this safety training and attestation
  • Library Facilities Office staff will contact the employee the request was submitted for directly about picking up/signing for metal keys, assigning door and alarm codes, and to answer any questions
  • If applicable, Library Facilities Office staff will submit the Cal 1 card access request to campus and/or program any Library interior door locks once the completion of the security orientation is verified

Cal1 Card Access Information

If you have a new employee who has not yet obtained a Cal1 card, please ask the employee to visit the Cal1 card website to make an appointment for a new card before completing the Access Request Form. If your employee needs metal keys and/or door codes before a Cal1 card is in hand, please save the email confirmation sent to you after completing the form and follow it back to the for to "update your response" and enter the Cal1 card information. We appreciate efforts to submit only one form for new hires as this will assist us with keeping the records together for each employee on the back end.

Please note, the process can take up to one week for Cal1 card access to work at the designated doors.

Student Library Employees (SLEs)

When requesting Cal1 card access for Student Library Employees (SLEs), supervisors will need both the Student Identification Number (SID) as well as their Employee Identification Number (EID) and will be required to provide an end date. End dates should coincide with the end date of the appointment, not the student's graduation date.

SLEs are not eligible for metal keys. Supervisors of SLEs are asked to sign for their students when keys are needed.

Bike Parking

Bike parking in a secured parking area in Doe Library is available for employees of Doe Library Doe Annex, Gardner Main Stacks, and Moffitt Library. This area is for daily use only. Storage of bicycles is not permitted. Bicycles are not permitted in offices or other Library spaces.

Keys to the bike parking area within Doe Library can only be issued for bicycles which have been registered. For more information on bicycle registration call UCPD at 510-642-6760

How to Report Lock Problems

Brocken locks, problems with keys suddenly not working, etc., are handled like other building maintenance problems vis the appropriate building coordinator. Doe, Doe Annex, and Moffitt employees can get assistance from Library Facilities Office, 510-685-7446, or by email at ldofac@lists.berkeley.edu. If you are located in a subject specialty library, please contact your Chief Operations Manager (COM) for assistance.

Locked Out?

If an employee becomes locked out of their workspace between the hours of 7:30am and 4:00pm, Monday through Friday, please call the Library Facilities Office at 510-685-7446. Either the Library Building Manager or Library Security will respond and give the employee access.

If an employee becomes locked out of their workspace before 7:30am or after 4:00pm on weekdays or all-hours on weekends, please contact Library Security at 510-812-0205.

If you are located in a subject specialty library and are locked out, please contact your Chief Operations manager (COM) for assistance. Additionally, UCPD provides lockout service if an employee becomes locked out of their workspace before 7:30am or after 5:00pm on weekdays or all-hours on weekends. There is no charge for this service. Staff can call UCPD at 510-642-6760 or drop by #1 Sproul Hall for assistance. Please understand your request may not be addressed immediately if UCPD staff are unavailable.
