Welcome and Announcements
Several new people joined Public Services Council so we did introductions.
Jutta Wiemhoff's last day is October 18. Tim Converse will be the interim operations manager until June 2020 when a long-term plan will be determined. Tim will be the NRLF rep on Public Services Council.
Library Website Redesign project (Tiffany Grandstaff)
Tiffany gave a brief update on the project reviewed the project goals, what is (and is not) in scope, the seven stages of the project (we are currently at stage 1: discovery which ends with the creation of a content matrix).
Three top areas: Help and Services, Hours and Locations, and Collections. Engaging staff in small focus groups to think about what the site should be -- some spots still available in September and October.
Policy on not using Cal1 card as collateral (Mark Marrow)
The Cal1 Office issued this statement: "The Cal1 Card is issued for use by campus service providers in verifying the cardholder's identity as well as their eligibility for access privileges (e.g. building access, library materials, etc.). The Cal1 Card should never be used as collateral. Instead, an alternate and more appropriate / effective accountability mechanism should be developed and implemented."
Library units should no longer take a Cal1 ID cards for any purpose. We encourage units to identify other approaches that include checking out items via Millennium to help with accountability and statistics. Examples were raised with Interlibrary Services and Media Resources Center.
This policy extends to concerns about the Library asking for and holding government-issued IDs, and we should explore other options for those current practices.
By end of the fall semester (December 2019) all library units should have new processes in lieu of holding any type of ID from any of our user communities.
Bancroft subscribes to Aeon, a product that allows community users to sign up for an account that can be checked to them in that system. Also Millennium can be used to create a patron account that can be used to check out items for in-house use. If your unit has questions, concerns, or needs help thinking of alternative solutions, please contact Mark Marrow.
Update on technology in Room 303 (Salwa Ismail)
This room can be used with a Zoom meeting (easily connect through the iPad by typing in the meeting number, with instructions in the kit), or can be used with a laptop connected to the HDMI outlet to the right of the screen (with cables in the kit).
We are awaiting the replacement microphone and other final tech details. The cameras and microphones are being tweaked with the vendor still. We are also exploring ways to leave the cables and remote in the room, ideally in a lockable cabinet with the key paired with the room key rather than be checked out in a kit from Access Services. Alternately we could explore getting a second kit as a backup in case items are lost or people don't return the kit before others need it.
Information about the technology in 303 should be added to the room reservation page.
Once the technology is all settled, we will offer training for library staff.
New procedures for proposing revisions to A-Z Databases List" (Beth Dupuis)
New procedures for adding/revising database categories and subjects to the A-Z Databases List have been posted to the Selector-Liaison Manual
Access question: Selector-Liaison Manual is not accessible to everyone on the Council nor everyone in the Library who could benefit from access. The current set-up requires users to log in with a CalNet ID/password and have a WordPress account. Salwa and Beth will explore other options with the staff who worked on the original design.
