Administrative Services Task Force 1997-98

Librarianís Office

The Librarianís Office oversees central administration for The Library which includes all units of the Doe-Moffitt complex; the branches of Humanities and Area Studies, Social Sciences, and Sciences which comprise Academic Services; the Bancroft Library; and the East Asian Library. Administrative officers include the University Librarian; Deputy University Librarian; Associate University Librarians for Humanities and Area Studies, Social Sciences, Sciences; the Chief Scientist; and the Director of Finance and Administrative Services. This structure is the result of a major reorganization in July 1996, which realigned branch units to create the Academic Services resources groups.

Since July 1997, these 7 administrators have been assisted by 2.0 FTE career staff (1.0 ___assistant III-supervisor, 1.0 ___assistant II), 1.0 FTE temporary worker (replacing a 1.0 ___assistant I), and approximately 1.0 FTE equivalent GA for general administrative support in the immediate offices. Additional support consists of a 1.0 FTE senior administrative analyst reporting to the Director of Finance and Administration and a .80 FTE senior administrative analyst reporting to the Chief Scientist.

In March 1995, the administrative support for 5 administrators consisted of 3.5 FTE career staff, 1.0 FTE temporary worker, and approximately 1.0 FTE equivalent GA, with adjunct support provided by a .80 FTE administrative analyst.

A joint Bancroft/LO proposal has been put forward (see Bancroft analysis) to share a ___Assistant I career position for reception and general clerical duties common to both administrative offices. With the departure of the University Librarian effective July 1, 1998, much will depend upon the priorities set by the new University Librarian and changes in the organizational structure.

Efficiency Recommendations from March 1995, which are still relevant:

  • Purchase and install calendar/scheduler software

  •  
  • Implement online forms for check requests, travel vouchers, supply orders, etc.
  • Budgetary Savings Implemented February 1998:
  • Expired temporary position for savings = $12,000 in Year 1 (February-June)

  •  
  • Resultant Year 2 savings of approximately $12,500 = to share position with Bancroft

  • (provides no further reduction to the base budget)
